CLM platforms such as Icertis or DocuSign CLM manage contracts from creation to renewal. Integrating CLM with procurement orchestration ensures easy access to contract terms, automated renewal reminders, and real-time compliance monitoring, reducing the risk of missed deadlines or non-compliance with contractual obligations.
Transforming Procurement Through Integration: A Real-World Example
Consider Rithum, a software company grappling with inefficiencies in its procurement processes due to disconnected systems and manual workflows. Procurement was burdened with delays, low compliance, and lack of visibility, which hindered the team’s ability to meet increasing demands. In early 2022, I led the implementation of procurement orchestration software to address these challenges and integrated it with their eSignature solution and ERP system.
The results were swift and transformative. Compliance rates shot up to over 95% within the first two months. Integrating eSignature streamlined contract approvals while the ERP connection eliminated bottlenecks, reducing manual work and approval delays.
By month six, the procurement team's productivity had doubled, with each procurement associate closing significantly more requests per month. The new system provided clarity, reduced errors, and simplified processes, allowing the team to handle requests more efficiently.
Leveraging the orchestration software's advanced reporting features, we worked closely with stakeholders across departments (especially Legal) to further optimize throughput. By analyzing performance metrics and identifying process improvements, we drove significant gains in productivity. Over time, this collaborative effort resulted in a 4x increase in overall productivity, as better reporting empowered the team to make data-driven decisions, track KPIs more effectively, and maintain high output levels.
This transformation streamlined operations and enabled Rithum to shift from a reactive to a proactive procurement approach, empowering the entire organization with a more strategic and efficient procurement function. And, yes, the team was able to drive additional savings, too!
Steps to Successful System Integration
Embarking on system integration requires careful planning and execution.
Assess Your Current Technology Landscape
Begin by identifying all platforms involved in your procurement processes. Evaluate each system’s integration capabilities and limitations. Map out how data currently moves between systems to understand where gaps and inefficiencies exist.
Define Integration Objectives
Set clear goals for what you aim to achieve through integration: efficiency gains, better visibility, or compliance improvements. Prioritize integrations that will deliver the most significant impact, focusing on areas where the lack of integration is most detrimental.
Choose the Right Integration Approach
Determine the best method for connecting your systems. APIs (Application Programming Interfaces) enable real-time data exchange between systems. Middleware solutions can facilitate communication between disparate systems. In some cases, custom integrations may be necessary to meet unique requirements.
Collaborate with IT and Stakeholders
Engage your IT department early; their technical expertise is crucial for successful integration. Involve stakeholders from all affected departments to ensure they understand the changes and benefits. Plan for change management by preparing training and support resources to encourage adoption.
Test and Validate
Start with a pilot program to test functionality on a small scale. Rigorously test data accuracy and process flows to ensure everything works as intended. Gather user feedback and refine it before rolling out the integration on a larger scale.
